AzorAI LLC operates AzorAI, an AI-powered receptionist, communications, scheduling, and business management platform for service businesses. This Privacy Policy explains how we collect, use, disclose, retain, and protect information when customers, their team members, callers, website visitors, and other users interact with AzorAI.

Information We Collect

We may collect or process the following categories of information:

  • Account and business information, including names, email addresses, company names, roles, authentication identifiers, business profile information, service areas, business hours, team members, technicians, routing rules, and platform settings.
  • Communications information, including phone call metadata, caller phone numbers, call transcripts, call summaries, caller messages, chat widget messages, support tickets, contact form submissions, and related timestamps.
  • Scheduling and customer interaction information, including appointment details, service addresses, requested services, technician assignments, appointment status, customer-provided notes, and calendar availability.
  • Customer content, including knowledge base articles, uploaded files, FAQs, business instructions, AI configuration, custom tool settings, and other content customers add to the platform.
  • Integration information, including connected account identifiers, integration settings, OAuth tokens, calendar IDs, email sender settings, and data received from connected third-party services when a customer enables an integration.
  • Billing and transaction information, including plan status, subscription identifiers, invoices, usage metrics, and billing-related metadata. Payment card details are handled by our payment processor and are not stored directly by AzorAI.
  • Usage, device, and diagnostic information, including IP address, browser or device information, pages visited, request metadata, logs, API usage, error reports, performance data, and security events.

How We Use Information

We use information to provide, maintain, secure, and improve AzorAI, including to:

  • Operate the AI receptionist, chat widget, dashboard, scheduling, call routing, message-taking, support, and automation features.
  • Answer calls and chats, summarize interactions, create and manage appointments, route calls, send customer-configured notifications, and generate business-facing summaries.
  • Authenticate users, manage team access, provide support, process billing, monitor usage, prevent abuse, troubleshoot issues, and maintain platform security.
  • Improve reliability, product quality, and user experience using aggregated or de-identified information where appropriate.

AI and Automated Processing

AzorAI uses AI, speech, transcription, and language model providers to process calls, chats, knowledge base content, business instructions, appointment context, and related customer data so the service can answer questions, schedule appointments, summarize interactions, and perform customer-configured workflows.

AzorAI does not sell customer content or Google user data, and does not use customer content or Google user data to train generalized AI or machine learning models. AI processing is used to provide and improve AzorAI's user-facing product features.

Third-Party Service Providers and Integrations

We share information with service providers only as needed to operate AzorAI, support customers, comply with law, protect rights and security, or complete transactions requested by customers. These providers may include cloud hosting, database, storage, authentication, communications, email delivery, payment, analytics, error monitoring, AI, transcription, geocoding, and calendar or email integration providers.

Examples include providers such as Twilio for voice calling, Supabase for authentication, database, and storage, Stripe for billing, Resend for email delivery, Sentry for error monitoring, Vercel and Railway for hosting, OpenAI or other configured AI and speech providers for AI receptionist functionality, and Google or Microsoft when customers connect calendar or email integrations.

Connected Calendar and Email Accounts

Customers may connect external calendar or email accounts so AzorAI can check availability, sync appointments, create, update, or cancel events, and send customer-configured emails.

If a customer connects Google Calendar or Gmail, AzorAI may access and process the connected Google account email address, calendar availability, calendar event details needed for scheduling, and, if Gmail sending is enabled, email message content needed to send customer-requested emails.

AzorAI uses Google user data only to provide the connected calendar, scheduling, and email features requested by the customer. AzorAI does not sell Google user data, use Google user data for advertising, use Google user data to determine creditworthiness or lending eligibility, or use Google user data to train generalized AI or machine learning models.

AzorAI's use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements.

When a Google integration is disconnected, AzorAI attempts to revoke the OAuth token and removes the stored connection credentials. Appointment records that were already synced into AzorAI may remain as customer appointment records unless deleted under the customer's retention settings or by request.

Data Security

We use administrative, technical, and organizational safeguards designed to protect information. These safeguards include encryption in transit, access controls, hashed API keys, encrypted OAuth tokens for connected accounts, private storage buckets for uploaded files, rate limiting, logging, monitoring, and error-report scrubbing designed to reduce exposure of emails, phone numbers, request bodies, cookies, and authorization tokens.

No system is perfectly secure, and we cannot guarantee absolute security.

Data Retention and Deletion

We retain information for as long as needed to provide AzorAI, maintain business records, comply with legal obligations, resolve disputes, enforce agreements, protect security, and support customer-requested workflows.

Customers may request deletion of their data by contacting us. Some information may be retained where required for billing, security, fraud prevention, legal compliance, backups, or legitimate business records. Connected account credentials are removed when an integration is disconnected.

Customer Responsibilities

AzorAI customers are responsible for configuring the platform lawfully and for providing required notices and obtaining required consents from callers, website visitors, employees, technicians, and other end users. This includes any required notice or consent for AI-assisted voice calls, email communications, and use of the chat widget or AI receptionist on customer websites or phone lines.

Customers should not submit sensitive information to AzorAI unless they have the necessary rights, consents, and safeguards for that information.

Your Choices

Depending on your relationship with AzorAI, you may be able to access, update, export, disconnect, or delete certain information through the dashboard. You may also contact us to request assistance with access, correction, deletion, or integration disconnection.

Children

AzorAI is intended for business use and is not directed to children under 13. We do not knowingly collect personal information from children under 13.

Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes to how we use information, including Google user data, we will update this page and provide additional notice where required.
